Travel Fox Ltd (“we”, “us”, “our”) is a holiday rental management company registered in England and Wales (Company No. 14183588). Our registered office is at Office 1, Orchard House, Tugby Orchards Business Centre, Wood Lane, Tugby, Leicestershire, LE7 9WE.
We are the data controller for personal information collected through this website and our booking services. You can contact us at [email protected] or call 0800 808 5559.
What Data We Collect
We collect personal data when you:
- Make a booking: name, email address, phone number, billing address, payment details processed securely by Stripe, number of guests, stay details and any special requirements.
- Submit an enquiry: name, email address, phone number and your message.
- Register as a property owner: name, contact details, property address and property information.
- Accept optional analytics: a random session identifier stored for the browser tab, page path without query strings or fragments, referrer origin and path, campaign tags, device type, listing and stay selections, guest count, displayed price, funnel events, IP address and user agent. This is pseudonymous usage data, not anonymous data.
Our booking systems also create operational event records needed to process and recover bookings. These may include booking and reservation references, payment-intent references, guest name and email, stay details, IP address, user agent and error information. We do not receive or store complete card details; Stripe processes them.
How We Use Your Data
We process personal data on the following lawful bases under UK GDPR:
- Contract performance: to price and process bookings, manage reservations and communicate with you about your stay.
- Consent: to run optional first-party booking-funnel analytics, Google Analytics and Google Ads measurement. Declining does not affect browsing, pricing or booking.
- Legitimate interests: to secure and improve our services, investigate technical failures, prevent duplicate bookings, respond to enquiries and manage property owner relationships.
- Legal obligation: to comply with tax, accounting and regulatory requirements.
We use analytics results to understand visitor journeys, improve the website and inform aggregate property ordering. We do not use this tracking for decisions about an identifiable visitor. If you accept, Google may also use measurement data to report on and improve the relevance of our advertising; declining or withdrawing consent stops this.
Who We Share Data With
We share personal data only where necessary:
- Hostaway: our property management platform for bookings and availability.
- Stripe: secure payment processing.
- Airbnb, Booking.com and Vrbo: channel partners where your booking originates through them.
- Property owners: guest names, contact details and stay dates where required to provide your stay.
- Google: Google Analytics and Google Ads measurement data only after you accept optional analytics and advertising cookies. Without acceptance Google receives only cookieless, aggregate signals.
Data Retention
- Raw website and checkout event records: 90 days, after which they are deleted. We may retain irreversible aggregate statistics that no longer identify a visitor.
- Booking records: 6 years after your stay to meet tax and legal obligations.
- Enquiry records: 2 years from your last enquiry.
- Marketing consent: until you withdraw it.
- Property owner records: for our working relationship plus 6 years.
Your Choices and Rights
You can accept, decline or change optional analytics at any time using in the website footer. Withdrawing consent stops future optional tracking and clears the associated browser-session identifiers and the Google Analytics and Google Ads cookies that we can access.
Under UK GDPR, you may have rights to access, rectify or erase your personal data; restrict or object to processing; receive portable data; and withdraw consent. Contact [email protected]. We will respond within one month.
Complaints
You may complain to the Information Commissioner’s Office at ico.org.uk or 0303 123 1113. Travel Fox Ltd is registered with the ICO under reference ZB502027.
